About Vacation Care

The magic of our holiday fun

School holidays are a time for children to explore new interests, build friendships and create lasting memories. Our Vacation Care programs are packed with exciting excursions, in-service activities and hands-on experiences designed to keep children engaged, active and inspired throughout the holidays, all within a structured and supportive environment.

Shaped by our school community

We believe the best holiday programs are created with children and families in mind. Our educators work closely with parents and children to understand their interests, ideas and feedback, ensuring each program is meaningful, engaging and relevant. Every Vacation Care program is thoughtfully designed to reflect what children enjoy most while supporting their wellbeing, learning and sense of belonging.

 

What is a centre day?

A centre day is a full day spent at the service - but no two days are the same! 

Each day brings new learning experiences and opportunities for children to play, create, explore and make new friends. Alongside two featured activities each day, children can enjoy games, challenges, creative resources, active play, with plenty of freedom to follow their interests and make the day their own!

What to pack?

Please ensure your child brings:

  • A healthy, nut-free lunch and snacks
  • A labelled drink bottle
  • A hat
  • Any required medication, such as an asthma puffer or EpiPen, together with a current Action Plan

Please clearly label all of your child’s belongings with their name.

What to wear?

Children should wear comfortable, weather-appropriate clothing suitable for active play and getting involved in the day’s activities. For safety, closed-in shoes and socks must be worn every day, and please remember to bring a labelled hat for outdoor play.

What to bring on excursions

To help your child have a safe and comfortable day, please ensure they bring:

  • A packed, nut-free lunch and snacks
  • A labelled water bottle
  • A labelled hat for outdoor activities
  • Weather-appropriate clothing suitable for the excursion and active play
  • Enclosed shoes and socks for safety and comfort
  • Any required medication, with relevant medical documentation already provided to the service

Please label all belongings with your child’s name and avoid bringing unnecessary valuables, toys or electronic devices.

We’ll take care of the rest!
Kids' Early Learning provides free bus transport for scheduled excursions, and children will be provided with a Kids' Early Learning safety vest and emergency identification band with service contact details while out and about. 

Please arrive at the service by the specified excursion departure time, as buses cannot wait for late arrivals.

Bookings and cancellations

Bookings
Vacation Care sessions can booked through BookMe up to 48 hours before the session begins, subject to availability. All booking fees for Vacation Care are waived.

Cancellations
Cancellations require 7 days' notice to avoid being charged, unless a medical certificate is provided.

Casual emergency care
Where care is required within 48 hours of a session commencing, casual emergency care is may be available, subject to availability. Please note that emergency bookings cannot be cancelled.

Medical conditions and medications

If your child has a specific health care need, allergy or medical condition, please provide full details when enrolling. Families are required to provide a current Medical Management Plan, completed by the child’s doctor or allied health professional, outlining how their needs should be managed. Kids’ Early Learning will work with families to develop a Risk Minimisation Plan and ensure relevant educators are informed of the child’s requirements.

Medication
Children who require prescribed medication cannot attend Vacation Care without the medication required for their medical condition. Medication must be supplied in its original container, labelled with the child’s name, dosage and administration instructions.

For school-aged children who self-administer medication, parents or guardians must provide the appropriate written authorisation before the child can administer their own medication. Specific arrangements also apply for children managing asthma, diabetes or other ongoing medication.

Allergies
Kids’ Early Learning services are nut free. Families will be advised where an enrolled child has an allergy requiring particular foods or substances not to be brought into the service.

Excursions
Children’s medical requirements continue to be supported while attending Vacation Care excursions. Required medications, an emergency asthma kit and an adrenaline auto-injector are taken on excursions, with procedures incorporated into the excursion risk assessment in case a medical incident occurs.

Child Care Subsidy (CCS)

Our Kids' Early Learning Vacation Care services are eligible for the Child Care Subsidy. The CCS is a government initiative that helps reduce out-of-pocket expenses for families based on factors such as income, activity levels, and the type of care required. To get a better understanding of what your CCS eligibility is, please visit the Centrelink website or reaching out to our team for assistance.

To receive CCS:

  • The primary parent or guardian must be the applicant for the subsidy.
  • Your CCS eligibility is determined by Centrelink based on your family's income, activity level (work, study, or training), and type of child care service used.
  • Ensure your Centrelink Reference Number (CRN) is provided when enrolling.

Direct debit payments

To make fee payments easier, Kids’ Early Learning offers a direct debit payment option for families. This secure payment method ensures that your child care fees are automatically deducted, making it convenient and hassle-free.

  • Payments are automatically processed on the agreed schedule to avoid overdue charges.
  • You can set up weekly or fortnightly direct debit payments.
  • All direct debit information is securely stored in our Child Care Management Software.
